**Where You Will Work **

Our global headquarters is in Phoenix, Arizona. Several hundred employees support global operations in finance, human resources, information technology, planning and more from the main office, satellite offices or online. As a Hybrid employee, you’ll engage in virtual collaboration as well as attend in-person meetings at our Collaboration Hub in Phoenix or at one of our site locations. The Collaboration Hub provides an open, flexible workspace for individuals and teams to come together for various business needs. Amenities at the Hub include a working café, phone booths and meeting rooms with technology tools for virtual and in-person collaboration. In-person attendance may vary based on the position and department requirements.

**What You Will Do**

As a Legal Billing and Budget Specialist, you will support legal operations by global analysis and coordination of invoice processing, optimizing billing system functionality, and vendor onboarding. This role ensures data accuracy, develops reports and dashboards, supports user training, and contributes to departmental budgeting and financial forecasting.

+ **Invoice Management**

+ Review, approve, and process invoices from outside counsel and vendors across domestic and international locations, ensuring accuracy and compliance with billing guidelines. Maintain data integrity and manage user access across multiple systems.

+ **Billing Platform Optimization**

+ Maintain and enhance the legal billing platform by managing user setup, configuring system settings, and ensuring data accuracy. Utilize AI tools and automation to improve billing accuracy, streamline workflows, and generate actionable insights. Provide training and ongoing support to legal team members.

+ **Vendor Onboarding**

+ Coordinate the onboarding process for new law firms and vendors, including workflow customization and training on billing system features to ensure seamless integration.

+ **Reporting & Analytics**

+ Develop customized reports and dashboards to provide insights into legal spend, matter status, budgeting trends, and key performance indicators (KPIs).

+ **Budgeting & Forecasting**

+ Assist in the preparation and analysis of quarterly and annual departmental budgets and forecasts, aligning financial planning with strategic goals.

**What You Bring To Freeport**

+ High School Diploma and four (4) years professional experience in a law firm or in-house legal department; **OR**

+ Associate’s degree and two (2) years professional experience in a law firm or in-house legal department;

+ Strong organizational and communication skills, attention to detail, and a solid understanding of legal procedures and terminology.

+ Solid computer skills in legal billing systems or equivalent software experience. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, CoPilot).

+ Strong understanding of legal operations and processes within a law firm or corporate legal department.

+ Proficiency in data analysis, budgeting, and reporting.

+ Capable of instructing and assisting users in navigating legal tracking software and other applications.

+ Proficient in communicating clearly and professionally with all levels of the organization and external vendors including legal professionals.

+ Strong ability to prioritize tasks, manage time efficiently, and meet deadlines while demonstrating a high level of accountability.

+ Skilled at working autonomously and collaboratively while fostering a supportive and positive team environment.

**Preferred Qualifications**

+ Bachelor’s Degree and related experience.

+ Experience working with Thomson Reuters Legal Tracker software

**What We Offer You**

The estimated pay range for this role is currently **$27.00 - $37.00/hour.** This range reflects base salary only and does not include bonus payments, benefits, or retirement contributions. Actual base pay is determined by experience, qualifications, skills, and other job-related factors. This role is eligible for additional discretionary and incentive payment considerations based on company and individual performance. More details will be shared during the hiring process.
